Some vendors also offer a limited free plan. Project management tools that include proofing, such as ProofHub, charge a flat fee that can be lower, but proofing is only one part of what you buy.
This is the biggest factor. In most tools the people who create proofs and manage projects need a paid seat, while the people who review work do not. A tool that gives you unlimited free reviewers is cheap if your team is small and your clients are many. It gets expensive if forty designers each need their own seat.
Plans typically range from a few gigabytes on free tiers to terabytes on higher plans, and some vendors list unlimited storage. Video and large print files use storage quickly, so check the allowance against your real file sizes.
Some vendors limit the number of approval stages or workflow templates on lower plans. If your proofs pass through internal review, legal and then the client, a plan that allows only two stages will not cover it.
Check whether the Adobe Creative Cloud extension, your project management integration and single sign-on are included in the plan you are pricing, or reserved for a higher one.
Dedicated account management, custom onboarding and priority support usually sit on enterprise plans.
