A GoProof user is defined is either a member or an admin. GoProof admins manage the GoProof account and can create or upload content to proofs, jobs, project or create tasks creators. Members can create and upload content.
Yes. GoProof replaces email-based feedback by giving every reviewer one shared space to comment and annotate directly on the proof. Feedback is centralised, threaded and attached to the exact element it refers to, so nothing gets buried in an inbox. Designers receive one consolidated list of changes instead of piecing together messages. Reviewers are notified when it is their turn, and project managers can see who has responded and who has not without sending a chaser email.
GoProof logs every decision automatically. When a gatekeeper or manager approves a proof or requests changes, the action is recorded with a timestamp and attributed to the person who made it. The project dashboard shows a stage marker for each collaborator, so you can see whether they have viewed, commented, finished reviewing or made a decision on each version. Yes. MP4 video proofs have a scrubber with a frame preview, and comments are tied to a point in time. Audio files such as MP3, WAV and M4A show a waveform you can zoom, so reviewers can comment on a moment or a stretch of audio. Reviewers can also leave voice notes on any comment.
Colour separations with an output preview, an ink coverage report, measure and grid tools, rulers, and a QR and barcode scanner. Reviewers can compare two versions side by side or use a visual difference view to see exactly what changed.
PDFs, images, Word, PowerPoint and Excel files (converted to PDF), MP4 video, audio files, and websites by URL or as a ZIP of HTML. Adobe files from InDesign, Photoshop, Illustrator and Premiere Pro are sent from the app using the free GoProof extension. Live websites can also be captured with the GoProof extension for Chrome and Edge.
People can sign in with email and password, Google, Microsoft or Slack, or use a passkey. Two-factor authentication works with an emailed code or an authenticator app. SAML single sign-on is available on the Pro and Enterprise plans for companies on a custom GoProof subdomain. Yes. Proof AI runs preflight checks on a proof using checklists your administrators set up, from a quick pass to an exhaustive one. There is also an AI chat for questions about your dashboard and Insights. AI features are switched on per company and run on credits.
GoProof works in the browser on phones and tablets and can be installed on the home screen as an app, with a mobile proof editor for reviewing on the move. The interface is available in eight languages.

Work is organised into clients (or spaces), projects and sections. A job is a structured piece of creative work with a brief, a deadline, proofs and assets attached. When it is finished, the final files are added as deliverables, which you can share with guests on the project or through expiring download links.
Yes. Every project can be switched between Kanban, Table and Calendar views. Kanban cards show status and counters for new comments and mentions. The calendar shows task dates, job deadlines and proof deadlines, and you can drag an entry to reschedule it. Filters narrow the list by status, person, section or new activity.
Each person can build a dashboard from widgets such as KPI tiles, charts, a needs-attention list and an activity feed, then save the layout and share it with colleagues. The Insights page lets you pick measures, group by project, client, user or status, and drill down to the proofs behind a figure. Reports can be saved and the table downloaded as CSV. A daily, weekly or monthly digest email is also available.
Through an in-app activity feed, email, direct messages in Slack or Microsoft Teams, and push notifications on phones where GoProof is installed. Each person chooses which email and chat notifications they receive. Reminders go out ahead of deadlines, and overdue reviews are flagged.
Yes. Each company has its own email address for this. On the upload screen for a job you copy the address and subject line, send the email, and GoProof turns it into a PDF proof at desktop or mobile size, ready for review. This suits email campaigns and newsletters.
Yes. Each user can generate an API key, and Zapier, OttoKit and Pabbly can connect GoProof to other apps, including creating jobs from them. Jobs can also be linked to work in monday.com, Asana, ClickUp, Jira and Basecamp.
Yes. Ask Insights is an AI panel on the Insights page. It answers using the filters you have on screen, with suggested questions such as slowest turnaround, overdue work and on-time rate, and links to open the proofs behind an answer. A similar Ask GoProof AI chat can be added to your dashboard. Both are available to members and administrators, keep your chat history, and run on AI credits.
