Accessing the Proofs Dashboard

The Proofs Dashboard gives you a clear, at-a-glance view of all your proofs. See thumbnails, status, versions, number of pages, deadlines, and creation dates. Filter and sort to focus on what matters and easily open any proof to review or update it, keeping your proofing work organised and on track.

Viewing Options

View Modes: Choose how you want to see your proofs.

  • List view provides detailed columns for each proof.
  • Gallery view shows larger thumbnails for a visual overview.

Column Sorting (List View only): Click any column header to sort proofs by title, deadline, status, creation date, or other details.

Column Controls (List View only): You can hide columns that are not needed for your workflow by clicking the cog icon.

Filtering and Sorting

Search Proofs: Use the Search Proofs text field to quickly find a specific proof by title or keyword.

Filters: Narrow down your dashboard to focus on the proofs that matter. Use the dropdown options to filter by:

  • Clients
  • Projects
  • Statuses (for example: In Proof, Awaiting Amends, Approved)

Sort By (Gallery View only): Use the Sort By dropdown to organise proofs. You can also use the arrow icon to sort proofs in ascending or descending order, similar to column sorting in List view.

Quick Filter: Use the Quick Filter dropdown to highlight proofs with recent activity. Checkbox options include:

  • New comments
  • New proofs
  • New mentions

Proof Details and Collaboration

Access Individual Proofs: Click on a proof to open it for review or updates.
Collaborator Progress (List View only): Use the caret icon next to a proof to view the progress of collaborators, including who has commented or made a decision.

Proof Dashboard Icons

In the Proofs Dashboard you will see a set of icons next to each proof (List View) or in the proof card (Gallery View). These icons give you quick visual information about the proof’s status, activity, and available actions. Hover over any icon to view a tooltip with its meaning.

When you are viewing as a publisher, you may see the following icons:

  • Star – This proof has been recently sent to you and you have not opened it yet.
  • Filled-in circle – There are new comments in the proof and you have not seen them yet.
  • Empty circle – There are no new or unread comments.
  • Bell – A deadline has been set on this proof (black) or the deadline has passed (red).
  • Lock / Padlock– The proof was sent as confidential and you will need to log in to your account to view it.
  • Tick / Check mark – You have finished reviewing the proof and will no longer add further comments. (If you have a "Reviewer" role in the proof)
  • T – There are text frames and/or table text on this proof that can be edited, provided you have been given permission by the proof sender.
