How do I customise my email templates?

This article is intended to guide you through customising your GoProof email notification templates. GoProof email notifications are sent to clients and other users. Customisation enables you to add your own company branding and custom text.

This feature is available to GoProof Upgrade users only

By default the GoProof email notifications come with the GoProof branding and styling as default.  However, with GoProof you can customise the email templates with your company branding, you can also customise the message your client receives.

By customising your email templates, your client will receive a notification email from a brand they recognise and trust.

In order to customise your GoProof email templates you will require a GoProof Pro Account

1. Sign Into the GoProof.

2. Click on the User Dropdown menu.

3. Select Email Settings.

4. Choose My Templates.

The email template you can customise is split into three sections: Header, Footer and Body. The Header and Footer are fixed across all GoProof email templates. However, the Body section can be customised depending on the purpose of each email.

5. Select the section you want to edit from the Edit Section dropdown.

Email Header

The Header is the top section of your email. This is normally a company logo. This is designed to be an image only area, so include any text within the image you use.

Note: Image width must be exactly 480px and height up to a maximum of 200px

1. Select Header from the Edit Section dropdown.

2. To insert your header image, click on the Insert Image button.

3. Your Image must already be hosted, type the link to the image in the Insert Image dialog box. Click OK.

4. Make any necessary adjustments or if you are happy with the header image, click Save and Publish.

Note: If you want to abandon your changes and revert back to the GoProof default, click Back To Default

Email Body

The Body is the middle and main section of your email. This is usually a text area which contains the main information you want to convey to the recipient.

Each GoProof email has its own email body template you can customise. To use the GoProof default, you dont need to do anything, but if you want to customise the email body follow the steps below.

1. Select BODY-XXX from the Edit Section dropdown.

2. Enter the customised text into the area below.

 

Note: You can use the Editor shortcuts to format your email body alternatively, you can swap to a HTML view if you want to customise your email template using HTML

3. You can add linked fields to your email template.

Note: Linked Fields are bits of text content that the system automatically personalises for each user that receives the email. These include simple warm and friendly links like dropping in their NAME at the start of messages, as well as critical information links for the emails to do their job, such as the PROOF LINK and ACTION. All these fields must be used where supplied

4. If you are happy with the header image, click Save and Publish.

Email Footer

The Footer is the bottom section of your email. This area can be used to insert text or an image file. Enter your customised text into the text area or follow the steps below to add an image.

Note: Image width must be exactly 420px and height up to a maximum of 200px

1. Select Footer from the Edit Section dropdown.

2. To insert your footer image, click on the Insert Image button.

3. Your Image must already be hosted, type the link to the image in the Insert Image dialog box. Click OK.

4. Make any necessary adjustments or if you are happy with the footer image, click Save and Publish.

6. If you want to test how your email template will look, click Send Test.

That’s it! You have customised your email templates.
